Zoho One pricing in Australia: budget for the whole rollout

The licence price is only one part of a Zoho One budget. The larger decision is which employees need which workflows, how existing data will move and who will own the system after launch. A low subscription total can still lead to an expensive project if those questions are left until configuration begins.

This guide separates Zoho's Australian licence prices from implementation and ongoing operating costs. Prices below were checked on 30 October 2026. Confirm the current offer, eligibility and tax treatment with Zoho before ordering.

Current Australian Zoho One licence prices

The cards cover the two Standard licensing models for which we verified Australian-dollar rates. Amounts are per employee or licensed user per month, as specified. Annual billing means an annual commitment; the monthly equivalent is not a monthly-payment offer.

At the annual rates

At the annual rates, one all-employees licence is A$660 per year before GST, or A$726 including 10% GST. One flexible-user licence is A$1,500 per year before GST, or A$1,650 including 10% GST.

Check the quote

Zoho's pricing display may vary by country and tax setting. Check that the quote is in AUD and whether GST is included. Ask Zoho to confirm regional availability and pricing for any edition outside the Standard models shown here.

Licensing model

Choose the licensing model using the right headcount

All-employees

The all-employees model requires licensing the organisation's employees under Zoho's eligibility terms. It should not be calculated using only the people expected to open the CRM. Any exception or special workforce treatment needs confirmation from Zoho; it is not something an implementation partner should assume.

Flexible-user

Flexible-user licensing uses the number of users you choose to license and has a higher per-user rate. It can therefore produce a different total where only part of the workforce needs the suite. Compare the actual employee base and required licensed users before choosing.

Worked example

A worked example, not a customer quote

Consider an organisation with 80 employees. At the verified annual rates, the totals before GST look like this.

All-employeesA$52,800a year, before GST

80 × A$55 × 12

30 flexible usersA$45,000a year, before GST

30 × A$125 × 12

50 flexible usersA$75,000a year, before GST

50 × A$125 × 12

The cheaper model changes as the required licensed-user count changes. These examples illustrate the arithmetic only. Eligibility, application requirements, contractual terms and the current vendor offer still need checking. Neither figure includes implementation or ongoing service work.

Budget

Build the budget in three parts

ZohoZoho

Three parts of a Zoho rollout budget

A licence total is one part of the commitment

  1. 1

    Software

    Licences, related services and usage

  2. 2

    Implementation

    Design, data, integrations and adoption

  3. 3

    Operation

    Administration, monitoring and change

Compare proposals against the same scope and assumptions.
Part 1

Software and related subscriptions

List Zoho licences, any separately purchased services, third-party connectors and relevant usage-based charges. Check what the selected edition includes and where limits apply. Do not assume that a suite subscription includes every external integration, telephony service or custom component your process needs.

Part 2

Implementation and change

Budget for process discovery, data preparation, configuration, integrations, testing, training and rollout. The effort depends on the state of your data and the workflow complexity, not simply on how many applications appear in a proposal. Assign a business owner who can resolve conflicting requirements and accept the result.

Part 3

Operation after launch

Agree who administers users, monitors integrations, handles failed records, changes workflows and supports adoption. Separate routine administration from new development. A proposal should state what support is included, what is separately scoped and which responsibilities remain with your team.

Effort

What makes implementation effort rise or fall?

Reduces uncertainty

  • Clean source records
  • Agreed processes
  • Available decision-makers

Increases investigation and testing

  • Multiple legacy systems
  • Inconsistent identifiers
  • Complex approvals
  • Undocumented integrations
  • Conflicting reporting definitions

Custom development

Custom development can be justified when a standard application cannot support an important process. It should come with a reason, an owner and a maintenance plan. Configuring more applications is not automatically a better outcome; a smaller first release that people use can provide a stronger foundation.

How we scope

FI Digital scopes implementation from the actual processes, sources and dependencies. We do not present an unapproved fixed implementation price as if it applies to every organisation.

Delivery evidence

Why integration scope deserves its own line

For an anonymous Australian automotive OEM, FI Digital built a custom connector using Catalyst by Zoho and custom development. It was deployed across 232 dealerships, connected multiple dealership CRMs and passed website leads in seconds while improving visibility of lead status and dealership-originated leads.

232dealerships
2months, defined project
About three hours saved per week at OEM levelAbout one hour per dealership per week
ZohoCustom integration

The client confirmed about three hours saved per week at OEM level and about one hour per dealership per week. This was a custom integration engagement, not evidence that a Zoho One subscription includes that capability. Its lesson for budgeting is to scope system connections and operational visibility explicitly.

Proposals

Compare proposals using the same scope

Ask each supplier to identify included applications, source-data assumptions, migration history, integration responsibilities, testing, training and support. Require a clear list of exclusions and dependencies. Compare what will be accepted at go-live, not just the number of configuration tasks listed.

FAQ

Questions about Zoho One cost

001Is the lower all-employees price available for selected users?

Do not assume so. The all-employees model has workforce-wide licensing requirements under Zoho's terms. Flexible-user licensing is the model to evaluate when selecting a subset of users. Obtain written confirmation of eligibility or any exception from Zoho before using the lower rate in a procurement budget.

002Does the displayed price include GST?

The table shows both the verified base rates and their values with 10% GST so the distinction is explicit. Zoho's local display and your final quote should be checked before purchase. Keep tax-inclusive and tax-exclusive amounts separate when comparing subscription totals and supplier proposals.

003Is implementation included in the subscription?

A software subscription and an implementation engagement are separate budget items. Process design, data preparation, migration, custom integrations, testing and training need an agreed scope. Check the actual offer for any included assistance, but do not treat it as proof that your full business rollout is covered.

004Can we introduce applications in stages?

A phased rollout can help the team test a useful workflow before expanding. Sequence the work around business dependencies, shared data and adoption capacity. Licensing obligations still need to be checked separately: using fewer applications at first does not automatically change the required employee or licensed-user count.

005What information is needed for an implementation estimate?

Prepare your employee and user counts, priority processes, source systems, data quality issues and required integrations. Add the business deadline, decision owners and support expectations. A short description is enough for an initial discussion; detailed records and confidential customer information should be shared only through an agreed secure process.
